Backoffice
Wholesale command centre for a DTC brand.
The wholesale team spent more time chasing information than selling. Order data lived in the e-commerce platform, stock at the warehouse provider, finance in the ERP, and product specs in the product database. Nothing talked to each other, and nothing told the team when something needed their attention.
The situation
This is a DTC brand that also sells wholesale to retailers, running four separate systems for orders, stock, finance and product specs, none of which talked to each other.
A typical week meant logging into four systems to answer one customer question. Manual order entry from PDFs and emails, line by line, with no visibility into stock. Copy-pasting product data into a different Excel template for every retailer. And selling items that turned out not to be available, then calling the customer back to apologise. The team had reached a point where selling more felt like a punishment: more orders meant more admin.
What we built
We built a wholesale centre that pulls live data from every source system into one workspace, with a dashboard that surfaces what the team needs to act on today.
Features
- Unified workspace with live data from the e-commerce platform, the warehouse, the ERP and the product database
- Action-based dashboard with proactive notifications for orders to invoice, deliveries to release, and shifts that affect customers
- Drag-and-drop order intake from PDFs and Excel, parsed automatically instead of entered line by line
- Real-time stock visibility during order entry, with warnings before commitments are made
- Per-customer item data export mapping, set up once, reused with one click
- Automatic alerts when preorder stock lands or delivery dates change, so customers hear it from sales first
Result
Today, the team opens one screen in the morning and sees the day laid out. Time that used to disappear into admin now goes into customer relationships and selling the next collection. Onboarding new team members takes days, not months. And when preorder stock lands or a delivery date changes, customers hear it from the sales team before they have reason to call.
